Digital Nigeria Full Booking Terms And Conditions

These terms apply to participation at Digital Nigeria in any capacity, including attendee, delegate, speaker, exhibitor, sponsor, partner, contractor, or other participant category.

1. Definitions

The Event means Digital Nigeria. Ownership means the event is the property of the Federal Government of Nigeria. Organiser means the event organiser acting on behalf of the Federal Government of Nigeria, including Brevity Anderson Consortium, with Brevity Anderson Trade Advisory Limited as lead partner, and any assigns or successors.

Exhibitor means any person, company, organisation, staff member, or agent taking display space at the event. Sponsor means any company booking branding, partnership, or promotional opportunity at the event. Participant means any attendee, delegate, speaker, exhibitor, sponsor, partner, contractor, or other person participating in the event. Contract means the booking form, online registration, sponsorship confirmation, exhibition confirmation, or other participation agreement submitted to confirm attendance or participation.

2. Contract

To confirm participation in any capacity, a participant must submit the relevant contract, registration, booking form, or online confirmation. Submission by the online platform, email, hard copy, or any approved booking channel is binding confirmation that the participant undertakes to pay the prescribed amount for the selected participation level.

Submission also confirms acceptance of these booking terms and conditions, event regulations, participant manuals, venue instructions, security requirements, health and safety rules, fire and traffic rules, and any reasonable instructions subsequently issued by the organiser or venue authority. Booking forms submitted electronically do not require a physical signature.

Where a potential participant provisionally reserves a participation option or exhibition space, the organiser may release that option to another participant if the first enquirer does not confirm the booking or fails to make the required payment on demand.

3. Payment Terms

Full payment is due upon submission of the booking form or registration, unless a different payment schedule is confirmed in writing by the organiser. The organiser may deny access to any registrant or participant who has not paid the prescribed fees in full by the time of the event.

The participant acknowledges that submitting a booking form or contract demonstrates intent and ability to pay. The organiser may require full payment even where the participant does not attend, unless the participant has cancelled in accordance with these terms.

The organiser may charge monthly interest of 0.5% on outstanding payments after 60 days from invoice issuance. VAT and other applicable charges may be reflected on invoices where required.

4. Health And Safety

Participants, exhibitors, sponsors, contractors, and suppliers must comply with all health and safety regulations in force at the venue. Exhibitors are responsible for the health and safety of their stands during installation, use, and dismantling.

To maintain a safe environment, all exhibitors, participants, and contractors must follow reasonable instructions from the organiser, venue, security teams, and public authorities.

5. Participant Identification

All participants must wear official identification badges issued by the organiser at all times while within controlled event areas. Badges are required for security, accreditation, and access-control purposes and must not be transferred without approval.

6. Security And Insurance

The organiser will take reasonable steps to secure the venue. Each exhibitor, sponsor, and participant remains responsible for the security and insurance of their own display, equipment, materials, valuables, and personal effects.

7. Exhibition Floor Plan

Allocated exhibition spaces may be pre-agreed between the participant and organiser. The participant acknowledges that the organiser may amend the exhibition layout at any time where the organiser considers it necessary or expedient.

Requests for specific locations will be considered where possible but cannot be guaranteed. Exhibition displays must remain within the allocated space and must not obstruct aisles, adjoining exhibits, emergency access, or venue operations.

8. Breakdown And Removal

No items may be removed and no display breakdown may begin before the official closing time of the exhibition, unless pre-approved by the organiser. Any approved early removal must be carried out without disrupting other attendees, exhibitors, sponsors, or venue operations.

An exhibitor who fails to vacate the venue, remove stand items, or complete breakdown by the prescribed time may be liable for any penalties, costs, or losses imposed by the venue or incurred by the organiser.

9. Cancellation, Refunds, And Substitutions

All cancellations must be submitted in writing to the organiser. Cancellations made up to two calendar months before the event start date may qualify for a 50% refund, excluding bank charges and payment-processing charges.

For sponsors, cancellations made up to four calendar months before the event start date may qualify for a 50% refund, excluding bank charges and payment-processing charges. Cancellations after the relevant cutoff date will not attract refunds.

Participants may request a credit note for a subsequent edition of the event or nominate a substitute attendee, subject to organiser approval, accreditation rules, payment status, and any category-specific restrictions.

10. Stand Fittings And Materials

All stand materials, fittings, and display items must be non-flammable or treated with appropriate fire-proofing solutions in compliance with venue and safety requirements. The organiser or venue may require unsuitable materials to be removed or replaced.

11. Damage

Exhibitors and participants must not cause damage to the venue, stands, fixtures, fittings, or third-party property. Any damage caused by a participant, exhibitor, sponsor, contractor, supplier, staff member, or agent must be made good at that participant's expense.

12. Bankruptcy Or Liquidation

If a participant becomes bankrupt or insolvent, enters liquidation, or has a receiver, administrator, or trustee appointed over any assets, the organiser may terminate the contract immediately. The cancellation provisions in these terms will apply to any space, booking, or participation right affected by that termination.

13. Force Majeure

The organiser will not be responsible or liable for loss, damage, delay, or non-performance resulting from war, civil commotion, strikes, lockouts, supplier default, government action, military activity, act of God, fire, flood, public emergency, public health restriction, venue restriction, or any circumstance beyond the organiser's reasonable control that makes it impossible or inadvisable for the event to be held as advertised.

If such circumstances occur, the organiser may reschedule, relocate, reformat, postpone, or otherwise adjust the event. Monies paid in connection with the event may remain with the organiser and be applied in accordance with the revised event arrangements. Exhibitors and sponsors are encouraged to obtain appropriate insurance against cancellation and other event risks.

14. General Conditions

Each participant is deemed to have full knowledge of these terms and conditions and is bound by them in all respects.

The organiser may assist participants with visa invitation processes where applicable, but is not liable for losses resulting from refusal, delay, inaccurate information supplied by participants, or decisions made by Nigerian or foreign authorities. A participant who fails to obtain a visa remains liable for amounts owed under the event contract unless cancellation is accepted under these terms.

Rights granted to an exhibitor or sponsor may not be assigned, transferred, shared, or sublet without prior written approval. Participants must submit logos, descriptions, advertisements, catalogue copy, and other materials in the format and timeline prescribed by the organiser. The organiser is not responsible for errors, omissions, or delays caused by late, inaccurate, or incomplete materials supplied by participants.

Any unusual marketing activity, prize draw, raffle, award, sound device, photography activation, crowd-gathering activity, or promotion running alongside the main event programme must be pre-approved by the organiser.
